2. Plan for the location and viewing behavior
Consider distance and dwell time.
A lobby welcome can use larger, simpler content than a kiosk where people stop and explore.
Account for orientation.
Landscape, portrait, kiosk, tablet, room sign, menu board, or another format.
Review lighting, sound, traffic, and accessibility.
The environment affects readability and whether motion or audio is appropriate.
3. Define the content structure
Separate evergreen and dynamic content.
Brand stories and general directions change less often than guest names, schedules, menus, or room assignments.

Live events and active facilities cannot depend on one unavailable person.
5. Plan the update process
Identify what can change remotely.

Define update timing.
Scheduled content, event-based content, real-time changes, and recurring daily information.
Test the live path.
Know how long it takes for an update to appear and who confirms the screen is showing the current version.
6. Use QR codes intentionally
Connect to a useful next action.
Maps, menus, surveys, forms, schedules, registration, mobile content, or resources.
Keep the destination mobile-friendly.
The screen may be large, but the person scanning is using a phone.
Give a reason to scan.
Explain what the person will receive or be able to do.
7. Review accessibility and readability
Use sufficient contrast and type size.
People should not need to stand directly in front of the screen to read essential information.
Avoid relying only on color.
Status, direction, or urgency should also be communicated through words or symbols.
Allow enough time to read rotating content.
Fast transitions make useful information inaccessible.
8. Test the complete screen experience
Preview on the actual device.
Content that looks good on a laptop may behave differently on the installed screen.
Walk the physical journey.
Confirm the display appears where people need the information, not merely where power was convenient.
Prepare a fallback.
Know what appears if connectivity, content, or the browser session fails.
The best screen content answers a real question
Who is this for? What do they need here? What should they understand or do next? Clear answers prevent screens from becoming expensive wallpaper.
